As a specialized Groomer Virtual Assistant (VA), we streamline day-to-day operations, allowing groomers to focus on their craft while we manage the backend tasks. Our mission is to help groomers grow their businesses, improve client retention, and simplify administrative processes through efficient, professional, and personalized support.


Key Responsibilities:

Client Communication: Manage client communications via email, phone, and text, ensuring professional, timely, and friendly responses to inquiries, appointment reminders, and follow-ups.

Appointment Scheduling: Efficiently handle appointment bookings, rescheduling, and cancellations using grooming software, ensuring minimal gaps and maximum client convenience.

Billing & Payment Processing: Monitor and manage billing processes, including sending invoices, processing payments, and following up on outstanding balances.

Client Retention: Implement strategies to retain clients, including follow-up emails, appointment reminders, loyalty programs, and promotional offers.

Online Presence: Enhance the business’s online presence by optimizing Google Business profile. Respond to reviews and inquiries on platforms like Google, Facebook, and Instagram.

Website & Social Media Management: Oversee website updates, blog posts, and social media content, ensuring that branding remains consistent and engaging. Respond to reviews and inquiries on platforms like Google, Facebook, and Instagram.

Grooming Software Management: Assist in setting up and maintaining grooming software (e.g., MoeGo) to ensure seamless business operations, including automated scheduling, client communication, and reporting.

Project Management: Take on special projects, such as developing client surveys, creating employee SOPs, planning client appreciation events, and designing membership or loyalty programs.

Client Records & Notes: Maintain detailed client records and grooming notes to ensure groomers are fully informed of each pet’s preferences and needs.

Administrative Support: Provide additional administrative support as needed, including staff scheduling, email management, inventory tracking, and general operational tasks.




Skills & Qualifications:

Strong Communication Skills: Ability to interact professionally and warmly with clients and staff, ensuring smooth and clear communication.

Detail-Oriented & Organized: Able to manage multiple tasks, keep detailed records, and maintain efficient systems.

Familiarity with Grooming Industry: Understanding of the pet grooming industry, its challenges, and operational needs, particularly for mobile and salon-based groomers.

Technical Proficiency: Experience using grooming software and basic website management tools, along with a solid understanding of scheduling systems and automation tools.

Project Management Experience: Ability to manage long-term projects from inception to completion, including strategy development, task delegation, and performance tracking.

Self-Starter & Independent Worker: Able to work autonomously, take initiative on projects, and propose improvements to streamline operations.


Pay Structure:


The pay structure is based on allotted monthly hours, allowing you to choose a package that fits your business needs:

• Up to 10 hours per month

• Up to 15 hours per month

• Up to 20 hours per month

  • Up to 20 hours per month

As a VA, our role is to free up your time by managing projects and tasks that would otherwise take your focus away from the business. After the onboarding process, where we assess and understand your unique needs, you’ll have the flexibility to choose from any of the key responsibilities listed. The number of hours per month you require will depend on the tasks and services you assign to your VA.
