FREQUENTLY ASKED QUESTIONS

  • We implement automated systems that streamline traditional receptionist tasks, such as scheduling, client communication, and follow-ups. These smart systems are tailored specifically for pet groomers, combining efficiency with specialized grooming industry knowledge. This approach ensures that tasks are handled quickly, accurately, and professionally, elevating your client experience.

Our Groomer VA services typically cost less than a receptionist’s salary because we work fewer hours overall, focusing only on what’s necessary to keep your business running smoothly. Tasks might take as little as 15-30 minutes a day or a few hours depending on your needs, eliminating the cost of paying for idle time. Additionally, as 1099 contractors, you save money by not having to pay payroll taxes, benefits, or other employee-related expenses.

  • AI can be incredibly helpful—and I use it strategically in my work to streamline content creation, organize information, and automate certain tasks. But when it comes to the heart of your grooming business—your clients, your schedule, and your reputation—there’s no substitute for a real person who understands your tone, priorities, and day-to-day realities.

Unlike AI, I can pick up on context, nuance, and emotion in a way automation simply can’t. I know when a client is being passive-aggressive, when a text needs a gentler touch, or when it’s better to call instead of message. I can prioritize based on real-time needs, pivot when things change, and make judgment calls based on your business goals—not just data.

AI can assist your business. I can help run it.

Most importantly, scheduling is often where businesses lose time, clients, and credibility. Having a real person behind your calendar means smoother communication, faster problem-solving, and less back-and-forth with clients. It’s not about choosing between tech and a human—it’s about building the right mix. I bring both to the table.

  • We exclusively serve pet groomers. Our systems are built specifically for the unique challenges of the grooming industry, using software like MoeGo and workflows that work for pet-based businesses.

  • It might feel that way at first—and that’s totally valid. Onboarding does involve some back-and-forth because I take the time to really understand your business, your goals, and how you like things done. I ask questions, clarify your preferences, and build systems tailored specifically to you. That front-loaded effort is intentional—because once everything’s in place, the support becomes seamless.

Most clients find that after the initial setup, I actually take a huge mental load off their plate. You’re not managing me—you’re being supported by someone who already knows what to do and how you like it done. The goal isn’t just to give you time back, but to reduce decision fatigue and help your business run smoother behind the scenes.

  • Absolutely! As a former solopreneur groomer myself, I understand exactly what it's like to run a small grooming business. This is actually my ideal client because I've been there - juggling everything on your own, trying to grow while maintaining quality. Our systems were specifically designed with solo and small operations in mind, helping you outsource the administrative work so you can focus on what you do best - grooming.

  • You can’t simply “hire” me for monthly support without going through the proper onboarding process. If your systems are disorganized or inefficient, it ends up costing you more in the long run—you’re paying premium rates for tasks that could be streamlined with the right foundation. That’s why I require all clients to complete the Bathing & Drying phase (system implementation) before starting ongoing VA support, unless you already have clear, documented SOPs. This step ensures I fully understand your business and can create customized workflows that save you time, reduce admin burden, and maximize value. When your systems are built right, support becomes seamless and efficient. You’ll always have the flexibility to pause or adjust services as your needs change—but skipping this foundational work simply doesn’t serve you or your business.

  • Our systems are designed to be user-friendly, and we provide full training and support. If you can use a smartphone, you can use our systems.

  • We primarily work with MoeGo because it integrates seamlessly into our system and supports efficient management across multiple businesses. While many grooming software platforms offer similar features, MoeGo stands out for its user-friendly design, commitment to innovation, and ongoing system improvements, making it the best fit for the diverse needs of our clients.

That said, we’re open to working with other software, but it’s worth noting that certain limitations—like the absence of crucial features such as a “send later” function—can impact efficiency. This may result in additional time and, ultimately, higher costs for our services. As Virtual Assistants, the ability to schedule messages for your clients at the right time, regardless of time zone, is essential to providing top-tier support.

If you’re currently using a different software, we’re happy to discuss how it aligns with our processes and what adjustments may be needed to ensure smooth collaboration.
